Audits and Inspections
Can I restrict who can carry out different types of audit?
Yes, you can restrict who can complete particular audit types by job role, this way only users in a particular role can do them.
Can my site teams look at previous inspections across the site in Work Wallet, even if they didn't conduct the inspection?
Yes, you can setup your users with a variety of permissions, including setting individuals as site managers. This will give them access to all inspections completed on the site they are responsible for.
Does the inspection report PDF have Work Wallet branding on?
Not at all. You can fully configure your template to use your company’s branding without a Work Wallet logo in sight. It is your report, after all.
Can I setup my inspection to be scored in Work Wallet?
Indeed – you can choose which of you audits/inspections want to enable scoring for. There’s a range of options to score it how you need, including percentages, quality scoring and custom grading thresholds.
Can I edit and make my own checklists in Work Wallet?
Yes, in the settings, your admins can easily build their own audit types, responses and scoring as needed.
How can I create a simple health and safety audit template?
Don’t overthink things! A simple checklist style health and safety audit could be all you need and is quick and easy to complete.
Identify the risk groups pertinent to you circumstances and separate them sections (e.g. Chemical).
Then create a sub-list for each section of the various specific aspects you need to check (e.g. Are chemicals stored securely?)
Add a simple yes/no or compliant/non-compliant tick box, and record the location, date, time, and sign off.
This approach may work best for task-orientated checks.

Contractor Gateway
How is Contractor Gateway priced?
Contractor Gateway has banded pricing to reflect what modules you want to use through it and how many people on average will be using it.
How do I produce a QR code to include in my site entry signage?
As part of the Contractor Gateway service set up, the system will produce a QR code which you can download and print off yourself, or send to your signage printer to incorporate in your sign designs.
How do I generate and send the pre-arrival weblink to contractors and visitors?
Once set up, the Gateway will generate the weblink and QR code – then you simply send this using the system to your contractors and visitors using their ordinary contact details.
Access to the link is secure and can be pin controlled, meaning only they (or those they trust with the code, such as internal admins) can access it to fill in all their necessary details.
How do contractors and visitors supply their information, and how do I check it all?
You send your contractors and visitors a secure, pin controlled pre-arrival weblink through the Contractor Gateway system.
You can request all the necessary information you need from them ahead of time, receive system alerts when it has been completed or submitted, and review and approve submission in real time.
Alternatively, if they’ve not filled in the weblink, or you have an unexpected visitor to site, they can scan a QR code at your site entrance with their smartphone instead, to access all your key information.

You can easily build your own notification rules as needed, to ensure the right people get notified as different types of issue occur. Choose to notify local site teams, specific users or groups, depending on the type and severity of issue reported.
Can I configure the types of incident that get reported?
Of course! There’s a full set of tools for your admins to manage issue categories to create main types and subcategories that best fit your business and sector.
Permit to Work System
Do I have to manually close each permit?
Not if you don’t want to. You can configure certain permit categories to automatically expire and close after a certain time. This can be useful for more general permits such as an ATP (Authority to Proceed).
Can I see live permits on my site?
Yes, through both the mobile app and the web portal, your site teams can get real-time information as to which permits are currently live, ensuring managers have accurate information, wherever they are on site.
Can subcontractors submit permit requests?
Yes, through our connected Contractor Gateway, your contractors can not only easily self-enrol and induct, they can submit permit requests by filling in the information mandated by you. They can also add updates and close-out information too.
Can I customise my own permit categories?
